David Lortal, Product Manager, introduces the new Automations framework in BAFTA Nucleus.
No two awards, bursary or application programmes work in quite the same way. Each has its own approach to how entries are collected, how administrators review them and how judging is run. Nucleus has always been built to flex around those differences, so that it feels less like generic software and more like a system built for the way a particular organisation works. With the new Automations framework, administrators can now build and adapt those workflows themselves, without needing bespoke development customisations.
Automations replace a collection of separate, fixed tools with a single, consistent model. Every automation is built from three parts: a trigger that starts it, criteria that decide which entries it applies to, and an action that runs when those conditions are met. Because any trigger can be paired with any action, the combinations are effectively unlimited. A change in entry status, an answer being updated, a date being reached or a signal from an external system can each be used to send an email, progress an entry, allocate work to judges, update a form or notify another platform.
Everything lives in one place. Rather than configuring workflow behaviour across several different settings pages, administrators manage all their automations from a single Automations section, with a full log of every rule that has run, the entries it affected and whether it succeeded. The result is workflow automation that is easier to set up, easier to understand and far quicker to change.
Since launch, clients across the BMT portfolio have put the framework to work in very different ways:
- Allocating entries to judges automatically, replacing a manual sorting process with fair, consistent distribution at the click of a button.
- Notifying viewers the moment new content becomes available to them, removing a manual communication step and making sure reviewers always have the latest material.
- Simplifying entry by letting entrants complete a single gateway form, with entries then routed automatically to the correct award based on the categories or information provided. Fewer forms, less administration and a smoother experience for entrants.
- Managing media compliance through a sequence of linked rules that set a reminder when a requirement is outstanding, recalculate it if files are uploaded later, and chase the entrant automatically if something is still missing.
These are only a starting point. The range of available triggers and actions is growing constantly, and each addition opens up new opportunities and new workflows. Because the framework is modular, when a client identifies something it does not yet support, it can usually be delivered as a small addition rather than a ground-up build, and every enhancement then becomes available to all Nucleus clients.
Automations also open the door to deeper integration. Through incoming and outgoing webhooks, Nucleus can both respond to events in external platforms and notify them when something happens, making it straightforward to connect Nucleus to the wider toolset an organisation already uses.
